Effective 2026
The short version
I keep what you send in the request form and my notes on handling it, and only as long as I need them. I never sell it. This site has no name, email or phone fields, and the public guest pages set no cookies and carry no ads or trackers.
What I keep when you send a request
- The kind of help you picked.
- What you typed in the request box, exactly as you typed it. If you type a name, phone number or anything else there, it is kept with the request.
- On a service page, the choices you tap are kept too, as one line at the top of that text.
- The date, the party size, and the level of help you said you're looking for.
- If you tell me an arrival time, an occasion, a budget aim and a maximum, whether those include taxes, fees and gratuities, whether it's a must, how you're getting there, whether your group decides together, whether you want food and drinks ready, or any special instructions, I keep them with your request so I only bring you options that fit. They are deleted with your request.
- Your reference code (like VL-XXXXX).
- A scrambled copy of your private status key. Your saved link holds the key itself. The scrambled copy can't be used to rebuild your link.
- A random one-time number the form sends so that a double tap creates only one request. Your browser holds it while the form is open and forgets it when you close the tab. I store it with your request and delete it with your request.
- After you send, this tab temporarily saves your reference and status link so you can recover them after a reload. The page stops restoring that saved information after two hours. Some browsers may retain information when a tab is closed or restored.
- The dates your request changed status, and when we last messaged each other about it.
- My own notes on handling it, such as the type of service we agree on, what happens next, and the time it takes.
- Two technical notes about the request itself: whether the form was sent unusually fast (a spam check), and whether my alert email about it went out.
- If we go ahead with a trip, I keep the plan for it: each item you asked for, the quotes I send you and when and how you approved them, and the bookings I make for you — the business, the date, the confirmation code and anything you need to bring. I don't store your card details or your ID. When a booking is in your name, your name stays with that business, not in my records.
- If we plan your trip in detail, I also keep your day plan, the seating and extras for each booking, your preferences (dining, seating, drinks, music, pace — never health notes), and the details each service needs: sizes and the items to look for when I shop for you; the area and listings for a property search; the route, dates, passengers and bags for a private flight; the car, times, delivery place, your driver's age range and the rental company's own check result for a car rental; the course, date, tee times and number of players for golf; the date, arrival time, party size and seating for a lounge or club; and, for an adult venue, whether everyone is 21 or older and any pickup. I don't keep names, IDs, driver's licenses, insurance or card details for any of these — the business collects what it needs from you directly.
- I also keep the businesses' answers to my requests, and the checkout link a business sends when you pay it directly.
- If you send me a trip budget, I keep a record of what you sent, what I bought for you from it, whether I have each receipt, and what I returned to you.
- For a group, I keep the head count, and names only if you choose to give them. They are deleted with your request.
What this site does not collect
- No IP address, device details, device location, cookies, analytics or ads.
- I don't use advertising or analytics trackers on the public guest pages.
- Your browser also remembers whether you picked light or dark, so each page matches. It is never sent to me.
Who else handles it
- Cloudflare runs this site and stores requests. Like every web host, it processes your connection details (such as your IP address) to deliver the site and block abuse. I don't keep those details.
- When a request arrives, my email inbox gets an alert with only the reference code, the kind of help and the date.
- To handle your request, I share only what's needed with the venue or provider involved, such as a date, a party size, or the name a booking is under.
- I never give your maximum to a venue or anyone else.
- When you message me after sending a request, the message I prepare for you carries only your reference, and the referral code from the link you came in on, if there was one.
- If the link you came in on carried a referral code, I note it with your request. I don't share your request with the person whose link it was unless you ask me to.
- WhatsApp, text messages, email and my bank keep their own records of our messages and payments, under their own terms. Those are not part of the request record.
- When you pay a business directly through its own checkout page, that business handles your payment under its own terms.
How long I keep it
- A request is finished when I close, decline or cancel it, or when I close it after 7 days with no reply.
- I delete it once 90 days have passed since it finished.
- After deletion, my hosting provider lets me restore the request database to any point in the last 7 days. After that, I can't restore it.
- Ask, and I'll delete your request sooner.
- Your trip plan is deleted together with your request. All of these trip details are deleted with it. My list of businesses holds business contact details only, never yours, and I keep it. Payment records are kept as business records.
- Payment records are kept separately, as business records, even after a request is deleted. They hold the reference code, what I quoted, what was charged, and when it was sent and paid. When I buy things to deliver your request, they also hold what I bought (the item or the business), the amount, any refund or credit, my own bank or card transaction reference, and whether I have the receipt. They never hold your card details. They also hold how each payment was made and its status.
Never sold
I never sell or rent your information, and I don't use it for advertising.
Your choices
To ask what I hold, correct something, or delete your request, message me with your reference code at concierge@thevipliaison.com, on WhatsApp, or by text. I may ask a question to confirm the request is yours before I share what's on file.
Changes
If what I keep or share changes, this page changes first.
